Refund Policy
This refund policy is written to protect implementation effort, software provisioning, and service time invested by Cosysta while still allowing case-by-case commercial discretion where appropriate.
1. General Principle
AssociationERP is offered through a combination of software access, product setup, implementation effort, consulting time, support, and in some cases custom configuration. Because these services begin consuming business, technical, and scheduling resources quickly, refunds are limited.
Unless a separate written agreement states otherwise, payments made to Cosysta are treated as final once the relevant service, access allocation, onboarding work, or milestone execution has started.
2. Non-Refundable Charges
The following amounts are generally non-refundable: implementation fees, onboarding fees, configuration fees, discovery or consultation charges, training fees, custom development fees, domain or hosting purchases, third-party software charges, payment gateway fees, SMS or WhatsApp credits, and any tax already remitted.
Where work has been reserved, assigned, delivered, or substantially prepared for a customer, Cosysta may retain the corresponding payment even if the customer later decides not to continue.
3. Subscription and Service Credits
Recurring subscription fees, if any, are typically billed for a defined term and are not refunded on a prorated basis for partial non-use, delayed rollout caused by customer dependencies, or changes in internal customer priorities.
If Cosysta expressly approves a commercial adjustment, it may be provided as a service credit, future invoice adjustment, or another remedy chosen by Cosysta instead of a cash refund.
4. Customer Delay or Scope Change
Refunds will not be issued because of customer-side delays in approvals, data sharing, access credentials, training attendance, internal stakeholder alignment, or change requests outside the originally agreed scope.
If the customer pauses, postpones, or materially changes requirements after work begins, Cosysta may retain payments covering completed work, booked effort, project management time, and committed resources.
5. Exceptional Cases
Any exception to this policy must be approved by Cosysta in writing. If a refund is approved, Cosysta may deduct the value of work already performed, platform access already granted, banking or gateway costs, taxes, and third-party expenses before releasing the balance.
Approved refunds, when applicable, are processed within a commercially reasonable timeframe using the original payment method or another method chosen by Cosysta.
6. Dispute Resolution Before Chargeback
Customers agree to contact Cosysta first through the official business contact details listed on this website to attempt good-faith resolution before initiating any payment dispute, chargeback, or reversal request.
Improper or abusive chargeback activity may result in suspension of service access, withholding of deliverables, recovery action, and denial of future service.
