Cancellation Policy
This cancellation policy is intended to reduce confusion around when service stops, what charges remain payable, and how project, subscription, and data responsibilities are handled once an account closes.
1. Cancellation Requests
Customers who wish to cancel AssociationERP services, implementation work, or recurring plans should send a written request using Cosysta's official contact channels from an authorized business representative.
A cancellation request is treated as received only after Cosysta acknowledges it. Verbal discussions, informal messages, or internal customer decisions do not by themselves stop billing or project work.
2. Effect of Cancellation
Cancellation stops future service according to the customer’s applicable billing cycle, order form, or project agreement. Fees already invoiced or accrued up to the effective cancellation date remain payable.
Cosysta may continue work already in progress until the cancellation is confirmed, and such work will be billable if performed before the effective cancellation date.
3. Charges That Still Apply
Cancellation does not waive charges for work completed, setup already performed, licenses already provisioned, support already rendered, reserved developer or consultant time, third-party commitments, or any approved custom development.
Deposits, onboarding fees, implementation charges, training charges, and committed vendor costs remain non-refundable even if the customer cancels before go-live.
4. Data and Access
After cancellation or termination, Cosysta may suspend or remove access to AssociationERP in line with the governing agreement, retention needs, and outstanding payment status.
Customers are responsible for requesting any permitted data export before final closure. Cosysta may define reasonable export formats, timelines, and service charges for data preparation or migration assistance.
5. Cancellation by Cosysta
Cosysta may suspend or terminate service for non-payment, abusive usage, legal risk, security concerns, misuse of the platform, repeated delays that block delivery, or breach of contractual obligations.
Where Cosysta cancels for cause, unpaid invoices remain due and Cosysta may withhold continued access, support, or further deliverables until the account is resolved.
6. Reinstatement
If a customer later requests reinstatement after cancellation, Cosysta may treat it as a new onboarding, pricing, or implementation engagement and may require fresh setup, migration, or audit charges.
Reactivation timing and availability are subject to Cosysta’s capacity, commercial approval, and technical feasibility at the time of request.
